Job in a Nutshell:

The Facilities Coordinator is responsible for the successful communication and coordination of repair and maintenance requests for the retail and corporate locations of Natural Grocers. This position monitors and maintains work orders through a CMMS (ServiceChannel); tracks progress of repairs and follows through to completion; maintains location notes and pertinent store information in the ServiceChannel platform. This position will be scheduled for evenings and weekend coverage.  This position is fully on-site and requires 100% of the time be spent working from the SSC Golden office.

Main Ingredients:

1. Oversee and lead large scale projects
2. Provide guidance and mentorship to level 1 coordinators
3. Budget oversight
4. Dispatch outside service vendors through ServiceChannel to address store maintenance issues
5. Effectively identify reported maintenance related emergencies and notify Facilities Manager to ensure appropriate immediate action is taken
6. Provide work order status updates to stores for emergency and urgent maintenance calls
7. Review and follow up on open work orders in ServiceChannel to ensure resolution and closing of tickets is occurring
8. Update store locations and other related store data in ServiceChannel as required
9. Assist with training new store managers on the functions and use of the system
10. Bid services for pricing and create work orders for external vendors as needed
11. Review and approve invoices
12. Identify and communicate recurring or failed R&M issues to Facilities Manager
13. Provide telephone and/or email assistance to stores for troubleshooting maintenance issues
14. Collaborate with, and provide assistance to store team members in delivering timely solutions while providing World Class Customer Service to internal and external customers
15. Maintain professional relations at all times in dealing with customers and vendors
16. Participate in training sessions, and complete all required training assignments for Natural Grocers
17. Perform related and other duties as assigned by Facilities Manager, including distribution of supplies, maintaining inventory of supplies, and warehouse/office organizing

1. High school diploma, GED or equivalent experience is required
2. Minimum 7 years Facilities Experience
3. Minimum 6 months Internal Natural Grocers Experience
4. Minimum 2 years general office administration experience
5. Warranty management knowledge and experience is preferred
6. Ability to multi-task and manage multiple incidents or projects simultaneously
7. Strong time management and organizational skills
8. Superior computer skills using Windows and Office including Excel
9. Ability to prioritize and balance changing priorities with attention to detail
10. Ability to understand service agreements and negotiate prices
11. Strong communication and interpersonal customer service skills are a must
12. Strong skills in handling multiple assignments, deadlines and high-pressure situations
13. Ability to adapt quickly to change
